    Project Quote Calculator

Enter your hourly rate, estimated hours and expenses to build a project quote, with an optional contingency buffer for scope creep.

Why add contingency: a 10-20% buffer protects you from underestimating scope, revisions, or unexpected complications without needing to renegotiate mid-project.

    About the Project Quote Calculator

Quoting a fixed-price project accurately is one of freelancing's persistent challenges — underestimate the hours and you end up working for less than your target rate; overestimate and you might lose the client to a competitor's lower quote.

This calculator builds a quote from the ground up: your hourly rate multiplied by estimated hours forms the labor cost, direct expenses are added on top, and a contingency percentage is applied to the whole total as a buffer against scope creep, revisions, or underestimated complexity.

Including a contingency buffer explicitly (rather than just padding your hour estimate quietly) makes your quote more defensible if a client asks for a breakdown, and gives you a built-in cushion without having to go back and renegotiate price mid-project when things inevitably take slightly longer than planned.

    Frequently Asked Questions

How much contingency buffer should I add to a quote?

10-20% is a common range, with more complex or less well-defined projects warranting a higher buffer, and simple, well-scoped projects needing less. The goal is covering realistic scope creep, not inflating the price unreasonably.

Should I show the contingency line item separately to my client?

This is a matter of personal preference and business style — some freelancers present a single all-in total, while others itemize their quote including a visible contingency line for transparency. Either approach is common in freelance quoting.

What if my actual hours end up exceeding my estimate significantly?

This is exactly what the contingency buffer is meant to help absorb for reasonable overages. For substantial scope changes beyond what a contingency buffer would cover, it's best practice to communicate with the client and formally revise the quote.

Should I quote hourly or as a fixed project price?

Both models are common — fixed pricing gives clients cost certainty and can reward your efficiency, while hourly billing protects you if scope grows. This calculator helps you convert your hourly-rate thinking into a defensible fixed quote if that's the model you're using.

How do I estimate hours accurately for a new type of project?

Break the project into smaller, more predictable sub-tasks and estimate each individually rather than guessing at the whole project as one number, then add them up — this tends to produce more accurate estimates than a single top-down guess.

Does this calculator account for payment processing fees?

No — this calculates your quote based on labor, expenses and contingency. If you also want to account for payment processing fees separately, check the dedicated Payment Fee Calculator.
